What to include in a bill of sale

How to use this free template bill of sale
- Enter the date, then the seller’s and buyer’s names and addresses.
- Describe the item so a stranger could identify it. Add the serial number if there is one.
- Enter the price and payment method, or tick “gift.”
- Keep “Sold as is” or describe a warranty, and add anything else you agreed (for example, delivery).
- Download the PDF, print two copies, and both sign both.
When a bill of sale is useful
- Selling higher-value items privately, such as a piano, a laptop, camera gear or a riding mower.
- Proving you owned something and when you sold it, for insurance or tax records.
- Settling who owns what after a move, a breakup or an estate clear-out.
- Buying second-hand: a receipt with a serial number helps show the item was bought in good faith.
Items with their own rules
Some items are registered or regulated, and the state may require its own forms. That includes cars and motorcycles (see the vehicle template and the as-is car template), boats, trailers and firearms. Check your state’s rules before selling these.

If the item has one, yes. A serial or model number makes it clear exactly which item was sold, which helps both sides if questions come up later.
What if I'm giving the item away?
